Reports to: Senior HR Business Partner
Location: London, Farringdon
Hours: 36.5 hours per week, Monday to Friday (4.30pm finish on a Friday)
The HR Assistant Mission:
This role plays a key part in delivering a smooth, accurate and people-centred employee experience across the full employee lifecycle. Working closely with the wider HR team, this role provides high-quality administrative and operational support, ensures HR data integrity and helps bring our people processes to life in a fast-paced, multi-brand environment.
How you'll drive success:
Maintain accurate and up‑to‑date employee records within HR systems, ensuring GDPR compliance at all times.
Support end‑to‑end onboarding, including documentation collection, system set‑up and coordination of induction activities.
Administer employee changes such as promotions, transfers and contract variations.
Manage absence and annual leave records, producing regular and ad‑hoc reports.
Act as the first point of contact for HR queries, providing timely, clear and professional responses or escalating as appropriate.
Support the leaver process, including resignations, exit interviews and offboarding administration.
Track probation and performance review milestones, ensuring processes and documentation are completed on time.
Provide administrative support to HR projects, including policy updates, system changes and process improvements.
Assist with employee engagement initiatives such as surveys, events and wellbeing activities.
Support diversity, equity and inclusion (DE&I) initiatives through coordination, communications and data tracking.
Produce HR metrics and reports including headcount, turnover and absence data.
Support internal and external audits by ensuring documentation is accurate, complete and accessible.
Work collaboratively with stakeholders across the business to support a positive employee experience.
What you'll need to thrive:
Strong organisational skills with exceptional attention to detail.
Excellent written and verbal communication skills.
A high level of discretion and ability to handle confidential information sensitively.
Proficiency in Microsoft Office, particularly Excel, Word, Lists, and Outlook.
A proactive, collaborative mindset with a willingness to learn and develop.
Previous experience in an HR Assistant, HR Administrator or similar role (desirable).
Experience working in a fast‑paced, multi‑brand or retail environment (desirable).
Familiarity with HR systems such as Teamtailor, SAP SuccessFactors or similar (desirable).

Final Interview - A final in-person interview at our office, focused on deeper discussion and practical application, giving you the chance to meet more of the team and see Pentland Brands in action.
