Leadership Team Assistant (Pentland Capital)
You'll provide high-quality, proactive and confidential administrative support to the Group General Counsel, Group Finance Director and Group Head of Tax.

Hours: 36.5 hours per week, Monday to Friday (4.30pm finish on a Friday)
The Leadership Team Assistant Mission:
To provide high-quality, proactive and confidential administrative support to the Group General Counsel, Group Finance Director and Group Head of Tax, alongside broader team, governance and administrative support across the Legal, Finance and Tax functions.
The role acts as a key point of coordination across the Legal, Finance and Tax functions and requires strong organisational skills, attention to detail and the ability to manage competing priorities. The role also provides administrative support (one day per week) to company secretarial function on KYC and AML compliance activities.
How you'll drive success:
Leadership Support
Provide dedicated administrative support to the assigned Leadership Team members.
Manage diaries where requested.
Coordinate internal and external meetings across multiple stakeholders, locations and time zones, ensuring all meeting logistics are managed effectively, including scheduling, venue and room bookings, video conferencing arrangements, attendee communications and meeting materials.
Prepare agendas, collate meeting materials, and monitor actions and follow-up activities where required.
Arrange domestic and international travel, accommodation and detailed itineraries.
Process expenses and support approval workflows.
Assist with correspondence and inbox management where appropriate and required
Administrative Support
Support the preparation of board packs, presentations, reports and correspondence.
Provide document management support, including document organisation, filing, and maintenance of filing systems and document repositories, both internally and through third-party platforms.
Manage the execution and signing of contracts and related documentation, ensuring all required approvals, signatures, and fully executed copies are obtained.
Administrative Support to the Company Secretarial Function
Provide administrative support on KYC and AML compliance (approximately one day per week), coordinated through the Assistant Company Secretary, including:
Preparing and issuing KYC and due diligence documents for banks, funds and investment managers.
Maintaining KYC records, ownership charts and supporting corporate documents.
Stakeholder Management
Act as a professional first point of contact for internal and external stakeholders.
Build effective relationships across the business and with external advisers.
Team & Event Support
Coordinate team meetings, off-site events and leadership workshops.
Support corporate events involving Legal, Finance, Treasury and Tax teams.
Provide holiday and sickness cover across the wider support team where required.
What you'll need to thrive:
Demonstrable experience in a Personal Assistant or Administrative Assistant role.
Experience supporting multiple senior stakeholders simultaneously.
Excellent diary management and prioritisation skills.
Strong organisational and planning capability.
High levels of discretion and confidentiality.
Advanced Microsoft Office skills, particularly Outlook, Word, PowerPoint and Excel.
Excellent written and verbal communication skills.
Experience supporting Legal, Finance or Tax leaders.
Exposure to KYC, AML or client onboarding processes.
Financial services, investment management, private equity or professional services experience.
Experience working within a fast-paced, regulated environment.
